At Accessible Accounting, we look after a lot of personal and financial information, and we take that responsibility seriously. This notice explains, in plain English, what personal data we collect, why we use it, who we share it with and what your rights are.

Who we are

We are not required to appoint a data protection officer. Our managing director, Julie Lever, is responsible for data protection, so please contact Julie with any questions about this notice or your data.

What data we collect

Depending on how you deal with us, we may collect:

  • contact details, such as your name, address, phone number and email address
  • business details, such as your trading name, company details and role
  • identity information for anti-money laundering checks, such as proof of identity and address
  • tax and financial information, such as your National Insurance number, Unique Taxpayer Reference, income, expenses, bank details and accounting records
  • payment information needed to set up direct debits
  • records of our emails, calls and meetings with you
  • newsletter details: your name, email address and your consent record

Most of this comes directly from you. We may also receive information from HMRC, Companies House or others you authorise us to deal with on your behalf.

How and why we use your data

The law requires us to have a lawful basis for each way we use your data. Ours are:

  • Providing our services to clients: to do the bookkeeping, accounts, CIS, Self Assessment and tax work you engage us for, and to bill you. Lawful basis: contract.
  • Meeting our legal duties: filing with HMRC and Companies House, carrying out anti-money laundering checks, keeping required records and meeting professional rules. Lawful basis: legal obligation.
  • Answering enquiries: when you phone or email us, we use your details to reply and, if you wish, to discuss working together. Lawful basis: legitimate interests (responding to people who contact us).
  • Sending our newsletter: see below. Lawful basis: consent.

Our newsletter

We send a fortnightly email newsletter. You can sign up using the form on our website. The consent box is never pre-ticked, and we send a confirmation email so you can confirm you really want to join (this is called double opt-in). When you sign up, we send you a free year-end checklist as a thank you.

We rely on your consent to send the newsletter. You can withdraw it at any time by clicking the unsubscribe link in any email, or by contacting us. We keep your details until you unsubscribe. After that, we keep a minimal record of your email address on a suppression list, simply so we never email you again by mistake.

Who we share your data with

We never sell your data. We share it only where necessary with:

  • service providers who process data on our behalf: HubSpot (our CRM, mailing list and website sign-up form), Xero (accounting software), Karbon (practice management), GoCardless (direct debits), Microsoft 365 and Outlook (email), and LDS Technology (who host our WordPress website)
  • HMRC and Companies House, when we act for you or where the law requires it
  • our professional body and our insurers, if needed, for example for regulatory supervision, quality checks or claims
  • other authorities, where the law requires us to

Our service providers may only use your data on our instructions and must keep it secure.

International transfers

Some of our service providers may store or access data outside the UK. Where this happens, we make sure your data is protected by appropriate safeguards, such as a UK adequacy decision or the UK International Data Transfer Agreement (IDTA) or Addendum. Contact us if you would like more information.

How long we keep your data

  • Client records: typically 6 years after our working relationship ends, to meet tax, legal and professional requirements.
  • Anti-money laundering records: 5 years after the relationship ends, as required by the Money Laundering Regulations 2017.
  • Enquiries that do not lead to work: 12 months.
  • Newsletter subscribers: until you unsubscribe, after which your email address is kept on a suppression list.

We then delete or securely destroy the data.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of your personal data
  • ask us to correct data that is wrong or incomplete
  • ask us to delete your data
  • ask us to restrict how we use your data
  • object to us using your data based on legitimate interests
  • ask us to transfer your data to you or another organisation, in some cases
  • withdraw your consent at any time, where we rely on consent

Some rights have limits. For example, we cannot delete records the law requires us to keep. We usually respond within one month and there is normally no charge. To use any of these rights, contact Julie using the details above.

Cookies and analytics

Our website uses only essential cookies, which are small files needed for the site to work properly. If you use our newsletter sign-up form, HubSpot may also set cookies so the form works. We do not use Google Analytics. You can control cookies through your browser settings.

How to complain

If you have a concern about how we use your data, please contact us first and we will do our best to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO):

  • Website: ico.org.uk
  • Phone: 0303 123 1113
